Our client is an industry-leading international construction company headquartered in Dublin, delivering projects across Europe.

Role Overview

Due to continuous growth, our client is seeking a highly organised and proactive Travel Co-Ordinator to join their team. To succeed in this position, you must be highly organised, proactive, with excellent communication skills (verbal & written), and have previous experience in organising a high volume of flights, hotels/ accommodation, and car rentals. The successful candidate will be responsible for ensuring operational efficiency and compliance, while also supporting the broader travel coordination activities as required.

Key Responsibilities

  • Responsible for organising travel, hotel accommodation, rental cars and transfers requests of employees and executives in a timely manner according to project schedules
  • Manage the primary travel email inbox by monitoring incoming messages and prioritising emails, and promptly forwarding them to the appropriate team members or departments as needed
  • Ensure clear and timely communication between head office and approvers/on-site offices
  • Collaborate closely with the Finance Team to share and verify the latest data related to travel expenses and agreements
  • Oversee and support travel operations in Ireland and across European project sites
  • Handle administrative duties including invoices, payment approval, contract setup, documentation, and forms
  • Monitor and ensure compliance with all travel requests
  • Liaise with travel agency to guarantee high service standards and address any issues or complaints that arise
  • Maintain accurate records of all travel-related bookings.
  • Prepare high-quality reports as required.
  • Provide regular updates on travel-related matters to the Travel Coordinator Lead and Finance Director.
  • Assist the other areas of the Travel Department as required.

Requirements

  • Previous experience in the travel industry – Leisure or Corporate (high volumes)
  • Experience managing travel across multiple locations is highly advantageous
  • Self-motivated, organised individual with the ability to manage multiple priorities in a fast-paced environment
  • Excellent communication skills (verbal & written) with the ability to engage with international suppliers, employees, and internal teams
  • High attention to detail with strong administrative skills, including proficiency in Microsoft Office, particularly Excel and Outlook
  • Ability to work independently while contributing to a wider operations/travel team
  • Awareness of international travel regulations
